CIPDI Academy (“we”, “our”, “us”) operates the learning management system at https://academy.cipdiacademy.org and the main website https://cipdiacademy.org. We provide professional development programs including People Management Essentials, Prompting Essentials, Data Analytics, Cyber Security, Artificial Intelligence, and other specializations for scholars under CIPDI, ACADEMY, and ILIAKI contracts.

This Privacy Policy describes how we collect, use, store, and protect your personal information when you use our Google OAuth login integration and our learning platform. By using CIPDI Academy, you agree to this policy.

2. Information We Collect

When you sign in using Google Sign-In (OAuth 2.0), we collect the following information from your Google Account with your consent:

  • Basic Profile Information: Your full name, email address, and profile picture
  • Google User ID: To link your Google account to your CIPDI Academy learner profile
  • Learning Data: Course enrollments, course progress, assignment submissions, grades, and certificates for courses you are enrolled in
  • Technical Data: Login timestamps, IP address, browser type for security and audit purposes

We do NOT collect:

  • Your Google password
  • Your Google contacts, calendar, or Gmail messages
  • Your Google Drive files except for assignment files you explicitly submit through our Moodle platform
  • Payment or financial information (handled separately)

3. How We Use Your Information

We use the collected information for the following purposes:

  • To create, authenticate, and manage your CIPDI Academy learner account
  • To enroll you in authorized courses (e.g., People Management Essentials, Data Analysis with Python, Network Security, AI Essentials, Digital Customer Engagement, etc.)
  • To track your learning progress, calculate completion rates, and generate true progress reports
  • To grade assignments, provide feedback, and issue certificates of completion
  • To communicate important program updates, course schedules, and certificate availability via your registered email
  • To provide technical support and troubleshoot login issues (Error 403 org_internal etc.)
  • To comply with legal and contractual obligations for CIPDI, CIPDI ACADEMY, and ILIAKI programs

4. Legal Basis for Processing (GDPR)

For users in the European Economic Area, we process data based on: contract performance (providing courses you enrolled in), legitimate interest (improving our platform), and consent (Google OAuth login).

5. Data Sharing and Disclosure

We do NOT sell, rent, or trade your personal information to third parties. We share data only in these limited circumstances:

  • With Moodle LMS: Your enrollment and grade data is stored in our Moodle instance at academy.cipdiacademy.org
  • With Google Cloud: For authentication purposes via Google OAuth 2.0 service
  • With Course Instructors: Tutors and Course Creators can view your name, email, and grades for courses they teach to provide academic support
  • With Program Managers: Managers can view all course data to manage the 20-course program
  • Legal Compliance: If required by law or to protect our rights

6. Data Retention

We retain your personal information and learning records for as long as your account is active or as needed to provide you services and to comply with our legal obligations for CIPDI contract reporting. You may request deletion of your account by contacting support@cipdiacademy.org. Upon deletion, we will remove your personal data within 30 days, except for anonymized progress reports required for contract compliance.

7. Data Security

We implement industry-standard security measures:

  • All data transmission is encrypted via HTTPS/TLS
  • Authentication uses Google OAuth 2.0 secure tokens (we never store your Google password)
  • Access to learner data is role-based: Students can only view own data, Course Creators only their courses, Managers all courses
  • Our Moodle LMS and Google Cloud project are protected with firewalls and regular security updates
  • We limit Manager access to 2-3 trusted personnel to minimize risk

8. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your account and data
  • Object to processing or request data portability
  • Withdraw consent for Google OAuth login (you can use email/password login instead)

9. Cookies

Our website uses essential cookies for login session management and Moodle functionality. We do not use tracking or advertising cookies. You can disable cookies in your browser, but this may prevent login.

10. Children’s Privacy

Our service is not directed to children under 13. We do not knowingly collect data from children under 13. Our scholars are adult professionals enrolled in CIPDI Academy programs.

11. International Data Transfers

Your data may be stored on servers located in the United States (Google Cloud) and Nigeria. By using our service, you consent to this transfer.
